Preventive Maintenance

Breakdowns cost several times what the service that would have prevented them costs. A PM program with real records is the cheapest thing on a fleet budget.

Preventive Maintenance in Baltimore, MD

Preventive maintenance is the only part of this business that reliably saves money rather than spending it. A scheduled PM on a fleet tractor catches a leaking wheel seal, a marginal brake lining or a chafing air line while the truck is standing still at your yard, instead of on the shoulder of I-95 with a load on and a delivery window closing. We run PM services on a schedule you set, keep records against unit numbers, and flag what is coming due so you can plan work rather than react to it.

Equipment and capability

PM work runs from both the shop and our mobile fleet, with bulk oil, filters and common consumables carried so a yard PM does not turn into a parts run. Inspection findings are documented with measurements and photographs, which is what makes the record useful six months later rather than just a signature on a sheet.

What preventive maintenance covers

The full scope of the work, so there is no ambiguity about what is and is not included when you approve a job.

  • Engine oil and filter change with the correct specification oil for your engine
  • Fuel filter and water separator replacement, plus fuel system priming
  • Air filter inspection and replacement based on restriction, not just mileage
  • Coolant condition testing, SCA or nitrite levels and coolant filter replacement
  • Transmission and differential fluid level checks and scheduled changes
  • Chassis lubrication at all grease points including fifth wheel and slack adjusters
  • Full brake inspection with pushrod stroke measured at every wheel end
  • Tire tread depth and pressure recorded by position
  • Lighting check, tractor and trailer, including markers and reflectors
  • Air system leak down, dryer function and governor pressure check
  • Belt, hose, mount and leak inspection with photos of anything flagged
  • DOT pre-trip and annual inspection completion with documentation

When you need this service

If you recognise any of these, it is worth a call before it becomes a roadside call.

PM interval is overdue or the records are not current

Truck is approaching its DOT annual inspection date

You are seeing repeat roadside calls for things a PM should catch

Fluid levels are dropping between services with no obvious leak

New driver or new unit joining the fleet and you want a baseline condition report

A CSA score that is trending the wrong way on vehicle maintenance

Seasonal change coming and the fleet has not been prepped

You are buying a used unit and want it inspected before money changes hands

How we approach it

The sequence matters as much as the repair. Working through it in this order is what stops you paying for parts the fault never pointed at.

  1. 1

Agree the interval and the scope

We set a PM schedule around your mileage, duty cycle and engine manufacturer requirements, then define exactly what gets checked at each level of service.

  2. 2

    Service on schedule

Work happens at your yard or in our Baltimore bays, whichever keeps the truck earning. Overnight and weekend slots are available for fleets that cannot spare a weekday.

  3. 3

    Inspect and record

Every check is recorded against the unit number with measurements, not ticks. Brake strokes, tread depths and fluid conditions are numbers you can trend over time.

  4. 4

    Flag and prioritise

Findings come back in three buckets: fix now for safety or compliance, schedule soon, and monitor. You decide what gets approved.

  5. 5

    Keep the history

Records are filed by unit so the maintenance history is complete and ready when an auditor, an insurer or a buyer asks for it.

Building a Preventive Maintenance Schedule That Actually Holds

Most PM programs fail for the same three reasons. Fixing them costs nothing and changes what your roadside spend looks like within a quarter.

A form is fine for scheduling. For a truck that is stopped, a call gets a unit moving while you are still describing the problem.

Preventive Maintenance questions

Drawn from the questions we get asked most about this specific service.

For most highway tractors, every 20,000 to 25,000 miles or every 90 days, whichever comes first. Stop and go work around the Port of Baltimore, heavy idling or vocational duty cycles usually justify a shorter interval. We will set it against your actual duty cycle rather than a generic number.

Yes, and for most fleets that is the better answer. Our mobile units carry bulk oil, filters and consumables, and yard PMs can be scheduled overnight or at weekends so the trucks are not off the road during working hours.

Yes. Our qualified inspectors complete the federal annual inspection and provide the documentation for your file and the decal for the unit.

A service record per unit with measured values: brake pushrod stroke by wheel end, tread depth by position, fluid conditions, and photographs of anything flagged. It is built to survive an audit.

We report first and fix second. Findings are prioritised into safety or compliance items, items to schedule, and items to monitor. Nothing beyond the agreed PM scope gets done without approval.

Yes. A pre purchase inspection covers engine condition, brakes, frame, driveline, tires and a scan for stored faults, with a written report. It is a small cost against a used tractor purchase.

Yes. Mixed fleets are normal and our software licences and parts sourcing cover the major platforms.
